One trained assistant. Your entire back office.

Blueplanit places dedicated insurance virtual assistants inside independent P&C agencies across the US. Quoting and ACORD applications, certificates, policy checking, endorsements, loss runs, renewals, direct bill and AMS hygiene — worked in your systems, under your SOPs, by someone who does nothing else.

Not a shared ticket queue. A named associate assigned to your agency alone, with a trained backup shadowing from day one. No setup fee, no advance payment, and a free week on live files before anything is signed.

01  The assistant

What your dedicated assistant handles

Full back-office coverage, not a task menu you pick two items from. One person, trained on insurance, working inside your AMS and carrier portals.

Policy quoting & ACORD applicationsMost requested
ACORD set completed and missing exposures chased, submissions marketed across your appointed carriers, quotes returned side by side with the coverage differences flagged — not just premiums listed.
Certificates of insurance
Issuance, holder edits, renewals of standing certs, and the chase-ups that come with them.
Policy checking
Issued policy read against the binder and the application; discrepancies listed for your producer before they become E&O.
Endorsements
Changes raised with the carrier, tracked to issue, and checked against what was actually requested.
Loss runs
Requested, chased across the carrier panel, extracted and formatted ready for submission.
Renewals & pre-renewal letters
Expiration lists worked ahead of the crunch, remarketed where it pays to, notices out on your letterhead.
Direct bill & reconciliation
Commission tracking and discrepancy resolution across carrier billing statements.
AMS management
Data entry, attachments, activities and the clean-up that keeps your reporting honest.
02  The combination

We don’t replace your staff. We give them their week back.

You are already paying for licensed, experienced people. The question is what share of their day currently goes to certificates, data entry and chasing carriers — work that needed none of that licence or experience.

Your team keeps

The work that only they can do

  • Coverage consulting and licensed advice
  • Retention calls before expiry, not after
  • Cross-selling the monoline accounts sitting in your book
  • Remarketing the renewals worth remarketing
  • New business conversations and referral follow-up
  • Carrier and underwriter relationships
  • The clients who walk in and expect a face they know
Your assistant takes

The queue behind them

  • ACORD applications and submission prep
  • Certificates, holder edits and re-issues
  • Policy checking against binder and application
  • Endorsement requests tracked to issue
  • Loss run requests and carrier chase-ups
  • Expiration lists worked ahead of the crunch
  • Direct bill reconciliation and AMS hygiene
$1,500a month, per assistant — roughly a third of one US service salary
Addedalongside your team, not in place of anyone
15–20 hrsa week of processing work typically handed across

So the honest question isn’t whether we cost less than your CSR — we aren’t trying to be your CSR. It is whether the hours your licensed people get back are worth more than $1,500 a month. For most agencies that is one retained account, or a handful of cross-sells they never had time to make. Your staff keep their jobs and stop doing the part of them nobody enjoys.

A US Insurance Customer Service Representative averages $48,409 a year before payroll tax and benefits (ZipRecruiter, August 2026). Hours handed across vary by agency and book mix.

We work inside your instance — there is nothing for you to migrate and no new system for your team to learn. If yours isn’t listed, say so: our associates pick up an unfamiliar system during onboarding, and the free trial week is where you find out how quickly.

03  Pricing

Two ways to engage, priced plainly

Both carry the same service list, the same standards and the same security. Which one fits comes down to whether you have a full desk of work — and we will tell you honestly if you don’t. Longer commitments cost less, and every rate below already has the ForgePoint referral discount applied.

Option A — Dedicated FTE Most agencies

  • Yours alone. Your associate does not work any other agency’s files, ever.
  • Two to five years’ hands-on experience with US P&C agencies — no trainees on your files.
  • A trained backup shadow-assigned from day one, so leave never stops your service work.
  • Works your business hours, under your email signature, inside your AMS.
  • Weekends and after-hours during renewals or backlog, at no extra charge.
Option B — Flexible Smaller books

How it starts

  1. Tell us what you’d hand over

An email with your agency name, your AMS, and the first tasks off your plate. Quote BP—FGP—2026.

  2. Paperwork before access

Mutual NDA and a data processing agreement are executed before you send a single login.

  3. A free week on live files

Real work, real turnaround, no invoice. Judge us on what comes back rather than on a proposal.

  4. Live in 24 to 48 hours

Once carrier logins, AMS access and an email account are in hand, onboarding completes within 24 to 48 hours. For the first weeks everything routes back to your team for approval until your SOPs are second nature.

04  Your data

How your files are handled

The questions your E&O carrier and your larger accounts will ask, answered before you have to ask them.

One delivery centre

All work is performed onsite at our single delivery centre in India. No work from home is permitted for any employee.

One machine per client

A dedicated workstation per agency, never shared across clients, with every session tracked in our internal platform.

Access held tightly

MFA on all logins. Carrier and AMS credentials are visible only to the associates, SME, team lead and managers assigned to your agency.

Reviewed, not rubber-stamped

An SME and a team lead review over every associate, with quality, volume and per-record tracking. Documented error rate under 1%.

Insured and papered

Cyber liability and professional liability (E&O) both in force, with certificates issued naming your agency as holder. NDA, DPA, MSA and SOW customised per client.

Your clients stay yours

Every associate is bound by non-solicitation and confidentiality, personal social contact with your clients is prohibited outright, and all agency data is erased from our systems at the end of an engagement.

05  Next

Start with one week and one desk.

Hand over whatever is backing up right now — the submissions that will get marketed to two carriers because nobody has the hours, the cert queue, the renewal list nobody has opened. We will work it for a week at no cost, and you will know from the output whether this fits your agency.
